Sustainability First are an independent charity that promotes change by undertaking research, convening policy discussions, making complex issues accessible to engage the public, promoting under-represented voices, and developing solutions to influence government policies and business practices.

Ingentive partnered with Sustainability First to enhance their operational efficiency and data management through the deployment of Microsoft Copilot. The project aimed to support Sustainability First’s strategy by establishing robust governance across systems, processes, and data. To achieve this, our team set up user accounts and permissions for Copilot, defined access restrictions, and provided comprehensive training to ensure effective utilisation.

This enabled Sustainability First to use Microsoft Copilot to:

Improve Efficiency: Automation of key processes reduced manual workload, using AI to streamline workflows and optimise output.
Enhance Data Accuracy: More advanced visibility into operations to make more informed decision-making opportunities, from the data that is now available.
Gain Better Visibility: Improved tracking and management of tasks and workflows to optimise performance and workload.

To ensure we were continuing to accommodate Sustainability First’s unique needs, we implemented a feedback mechanism for continuous improvement and conducted fortnightly reviews to assess readiness, adoption, impact, and sentiment data.

There are various benefits that a business gains after the implementation Microsoft Copilot, but below are some have cherry-picked some specific examples of how Copilot has revolutionised the workload of for Sustainability First.

One example is in the creation of a summary note for a policy roundtable. This would usually take about one to two hours (reviewing recordings, editing notes taken during the meeting, summarising key points, and making the document flow). With using their new Copilot AI tool, there has been a time saving of anywhere between 400% to 800%.

Interview Process for External Candidates:

Scheduling Interviews: Copilot automated the scheduling process by integrating with the team’s calendar, sending out interview invitations, confirming availability, and managing rescheduling requests.
Candidate Evaluation: Copilot provided a structured evaluation form for interviewers to fill out during or after the interview, compiling evaluations into a comprehensive report.
Follow-Up Communication: Copilot drafted personalised follow-up emails based on interview outcomes, including details such as next steps and feedback.

Creating Presentations and Proposals:

Drafting Proposals: Copilot assisted in drafting proposals by providing templates, suggesting content based on previous proposals, and ensuring consistency throughout the document.
Designing Presentations: Copilot helped design presentations by suggesting slide layouts, adding relevant content, and ensuring visual appeal. It also provided insights and data visualisations to support key points.
Reviewing and Editing: Copilot reviewed documents for errors, suggested improvements, and ensured clarity and conciseness. It also provided feedback on the overall structure and flow of the document.

By leveraging Copilot, Sustainability First were able to reduce manual workload, streamline workflows, and make more informed decisions, ultimately driving greater impact and positive change. After our implementation of Microsoft Copilot, David Murray, Sustainability First’s Executive Director said: “AI has a very important role to play in society, and so it’s effective use in NGOs is just as important. Ingentive have supported Sustainability First, an independent think tank and registered charity, to embrace the power of AI through Microsoft’s Copilot. With their help, we have learnt how to increase our productivity and effectiveness as a small team, helping us to assimilate data, capture and summarise key policy outputs and discussions, and free up capacity from the more mundane tasks to spend more time on relationships and advocacy”.
